Alright, so now that you’re officially on this train to bringing more balance into your life, let’s look at the #2 thing.

This one happens to be a bit more controversial… But listen up, because I’ve been building businesses for years now.  From a print and design center to event management, to accounting firms, to marketing…  And now, to my Bankable Gift and most successful business of all time:  Coaching and transformational consulting!!.  I HATE the way that being an entrepreneur and building an online business is talked about around town. You’ve probably heard it…  Felt it…  And even fallen victim to it…  But here’s the truth: most female entrepreneurs are slowly killing themselves because of it.  Okay, Tracy… what are you talking about, right?! Ok let me break it down with a few examples: Car mogal and Tesla’s own Elon Musk recently shared that he works 100 hours a week…

To put that in perspective, that’s working from 8 am until the crack of dawn nearly every day of the week!  Nuts, right? He’s not the only one – everyone loves the unfiltered Gary Vanderchuck who shared on The ‘Gram that sees his children one day a week because he’s too busy building his business. So many of the gurus believe that new entrepreneurs should be working at least 18 hours a day for the first year!!!!! Ummm… What in the world!?!!!   And get this Melanie Perkins, the amazing co-Founder of Canva almost lost her eye sight from staying up for 36 hours straight.

Can you imagine!??

That is not the life, Sis. I mean I love each and every one of these brilliant entrepreneurs, but c’mon man!!!   That kind of “hustle” is a hot mess and NOT something I became an entrepreneur to do.  And I know that you didn’t either.  But my lady… There is a way when there seems to be no way to properly set up your business, so you can make every moment matter… So you can stop wasting your time with nonsensical things you know you shouldn’t be doing… So you can spend your precious time working ON your business, instead of working IN it.  I learned this the hard way. Buying into this “hustle hard mindset” almost cost me my LIFE. 

And can I share a secret… I’m halfway glad…  Because having to change what I put in my body gave me wisdom and clarity.   I knew that if I was going to live and never have to go back to a dead end job building someone else’s million dollar business that I had no choice but to make some major changes in the way I was living out here in these streets and in my business. 

I had to focus on doing less, but making more. I had to shift into only doing the high-value tasks that would truly grow my business. I had to only do what only I was brought to this Earth to do.  And I’m sure you’re wondering…. Well Tracy if I only “work on high-value tasks”

How will I make it?

How will these gazillion emails get answered…

How will these invoices get paid from those that I have to chase?

Invoices need to be chased… Who will build these landing pages…

And post to comments in my Facebook group…

And build my online course…

And then sell them…

I have been there and done that!  Between a long and strong to-do list, the kids, pressures of life, and all the responsibilities of life, church and business, you can pull your hair out trying to navigate it all.  I hear you… 

There were only so many hours in a day that I could dedicate to my business.  (And don’t even talk to me about the “social life” I was supposed to be having outside of building my empire.) But here’s what made the decision for me: 

#2. My Activation Bottleneck Audit

When I compared how worked myself to a breaking point I was able to reflect to see how much was actually getting done in my business… 

Uh yea Sis…  It was a hot mess.  I would spend all day “busy being busy” and honestly not have anything to show for it besides a longer list of nothingness…

So, I did what I now give to all the girls who train in my community: An Activation Roadblock Audit.  This was where it got real because I had a serious truth-bomb look at my to-do list and the tasks which were taking me the longest to get through.  From that, I identified the Top Roadblocks that had been slowing my business down and asked:  Why in the world is it happening?  And… How can either own, delegate, or remove these roadblocks?  For example, I was spending a lot of time bogged down in the inner workings of WordPress and the tech stuff.  I was trying to learn code (that I never remembered how to plug together the next day)…  Building my own landing pages from scratch (without the drag and drop front end design templates you can just grab from just about anywhere now)…  Setting up my sals pages, carts, and order forms… And just trying to glue together the tools so they were automated and linked with each another.

While I was trying to be Superwoman, guess what I was definitely NOT doing?  I was NOT making a connection with my market on social media…

I was NOT going live to build like, love and trust. I was NOT selling my courses and marketing… I was NOT having discovery calls and I definitely wasn’t asking for the sale… I was broke as a joke and I was NOT making a dime …  And what’s sad was that I wasn’t enjoying life, loving life, resting, and doing the things that I desperately deserved to do. 

It was a massive roadblock.

So again I asked myself: why are these roadblocks and bottlenecks happening? 

I needed site hosting, a website, a funnel, sales page, order form, student portal… But with no assistant or gifted team member to help me (and on a shoe string budget)… 

It was still my problem. So I asked, do I need to own, delegate, or remove this roadblock off my plate?  I definitely couldn’t own the tech anymore. Tech wasn’t (and still isn’t) my Bankable Gift.  I couldn’t take it off my plate, because I needed a place online that my dream clients would land…  So I took the final option…  I delegated it.  So, I did what all smart entrepreneurs do and… 

I Googled someone who could help me. 

And on Google, I discovered: 

#3. Three Ways To Delegate Low-Value Tasks Off Your Plate (And Which ONE Every Coach Needs)

So, I looked for a company. 

I figured that a company of experts could take care of the tech and web buildups…  And even create marketing campaigns for me.

  This was a win because they were super experienced…   And they could knock out building a website for me in hours instead of weeks or months…

But –  They goodness gracious… they were too expensive. Don’t get me wrong: scared money doesn’t make money. But the problem was:  When push came to shove, I was never their top priority 🙁  They talked the talk, but because they were serving 9 billion other clients, my business always fell at the bottom of their stack. So, then I tried a FREELANCER. 

You gotta love Fiverr and Upworks where you can have a project worked on by someone in another country. Bless their hearts. They definitely had less clients and more time to work on my stuff… They had some idea of what to do… 

BUT Unless you were paying an arm and a leg, the ones I could afford at the time weren’t experts. They had no idea about my business model or my niche market, and they didn’t listen when I tried to tell them my vision.  I worked with hundreds of freelancers, and wasted over thousands before I said no more 🙁  Companies… Freelancers… none of these options were going to work because none of these folks were fully committed to my business. 

I needed someone who was there for me and me alone, Monday to Friday, on call when I needed them the most.  I needed someone who wanted to me to win and was going to grow with me. Someone who cared about my business like it was theirs, and wanted to see me soar.  I needed someone who knew my business inside and out, so it didn’t feel like I was having to repeat myself and start from scratch every time I needed something done.  I was just starting so I definitely couldn’t hire a staff… So instead, I decided to take the route of hiring a Virtual Assistant.  Specifically, a Virtual Assistant in Zimbabwe.

  Why Outsource To Africa?

The Outsourcing Industry is worth nearly $95 billion and still growing…  Not surprisingly, considering it’s 4x cheaper to hire a Virtual Assistant than an in-house team member. 

From the Philippines, to India, to China… there are plenty of well-renowned countries that claim to be the best at it… 

But no one trumps Virtual Assistants in the Zimbabwe.

A hidden gem of gifted, dedicated, loyal, committed and loving people to say the least. Here’s a few reasons why:

Although I’d decided to go that route, can I be honest with you?

The process of finding a Virtual Assistant was a bit of a nightmare. 

Because the industry is so big, I had to scan high and low through so many different sites and directories. Then, I had to look at hundreds of candidates…  I had to interview tons of people to make sure they were a good fit…  I had to hire them, pay them, and onboard them…  Then, because they didn’t have any experience in online business, I had to train and certify them up in sales, marketing, branding, copywriting, customer success, admin, tech, and the many many tasks I needed done…

Long story short: it was a HEAP of work. 

Whew! So many times I thought…  I have no clue where to start!  Is this really what my business needs right now? Am I really ready for this leg of my business?  I’m not experienced or equipped enough to lead a team… 

I can’t train them in stuff I don’t have time to do myself! I’m wasting more time than I’m saving…

Long story short: I eventually figured out the secret to having a virtual assistance agency and outsourcing and it changed my life and business overnight.  Today, having a virtual assistants agency saves me thousands a month… and makes me 4x the income I made before. But I need you to know… just in case you’ve tried hiring a VA in the past and fallen flat…

My first attempt was no good either.  I had a few small wins along the way, like getting a gorgeous website and flyers done without the tech and graphic designer headache (or costs).  But I just couldn’t figure out how to take my role seriously…  I tried really hard to take things off my plate, but I’d just fall back into old habits.  Sometimes, I’d go days without giving my Virtual Assistant anything to do, because I just couldn’t let go and because of that couldn’t grow. I took the easy route, and kept saying: 

“Oh, I’ll just get it done real quick!

… and I’ll just knock this out…  … and I’ll take care of this…”  At one time or another, every leader gets trapped in this I-Can-Do-This-Faster-And-Quicker-Than-It-Takes-To-Explain-It, right?

For me, it just started to go down the drain.  If you’re at this same point in your business, where you know you need help but you don’t know where to find it… Sis I understand how overwhelming it can all be.  Like you, I was hustling for as long as I could remember.

First, when I built a modeling agency in my hometown… Then, when I graduated from college and landed a job as an accountant and would work all day and then go work on my side hustles. I kept hustling after I got fired one too many times… And when that landed me in major debt

But can you guess what I did even after all of that? 

I kept hustling.  I hustled my way through being an entrepreneur, a wife, a mom, a friend, a daughter, a sister, a boss, an aunt, a church administrator…  All fairly averagely, if I can keep it real.  I didn’t stop hustling when I started making money in my own businesses either…  And I was still hustling when I found out I had a sickness in my body and had to undergo many surgeries 🙁 

Hustling isn’t something you do in the first year of business just to get by. Because as long as ‘hustling’ is part of your mindset, you will never be satisfied.  You’ll get clients here and there and make money here and there, I’m sure…  But you’ll never truly experience the success you deserve. Lifestyle… That’s the only thing which can satisfy an entrepreneur.  A life they control… a life they CHOOSE… But when hustling is your driver, your end destination will always be roadblocks and overwhelm.   When I added up the overwhelm of working through my struggles with my Virtual Assistant, against the cost of building this empire alone…  I knew I had to let go of the hustle hard culture or else. I realized I needed to just trust the process, because having a VA requires a long-term mindset.  For so long I was thinking short-term, bogged down in my tasks, and looking for quick wins… Instead of asking one important question:

#4. How can I create a long-term business that’s sustainable? 

And here’s the thing… 

To be successful in business, 90% of your time should be spent on High Value Tasks.  These are tasks that move your business towards more profit.  One of the big reasons female entrepreneurs get overwhelmed and end up a lonely one-woman show… Is because they don’t know their worth 🙁  Yup! They aren’t confident and end up hoarding every task thinking they’re “saving money”.  Sound like you? So to start honoring my hours, the first thing I needed to do was calculate my hourly rate. This is Math 101 (and I’ve attach a worksheet below so you can easily do this for yourself), but here’s what you need to know: At this point in the game, my business was starting to finally make real money, but I wanted to scale it to $1,000,000.  That means, I needed to come through every week banking at least $20,000.  Plus I also wanted to work less without feeling the guilt.

So when you do the math, my hourly rate that I was working for was $850. 

Now think about this:

If you want to make the kind of money working less hours…

Is it wise to spend 3 hours one afternoon scheduling Instagram posts, when a VA could do it for you for $7/hour?  Is it worth spending 2 hours designing worksheets for your course, when a virtual assistant could knock it out for you for $14?  Is it smart to spend 6 hours every few days editing videos for your launch when a virtual assistant could do it for you while you’re focusing on driving sales into the business?

Do you see the power of this? Look, if you’re not having a lightbulb moment, then I don’t know what to say.

I pulled out a notebook and jotted down what I loved doing in my business and what I hated doing.  Inside, I wrote down: 

The things I don’t like, and I’m bad at (eg. video editing, coding, pdf fillable, vendor calls) The things I love, but I’m bad at (eg. graphic design, managing and responding on social media)  Things I don’t like, but I’m good at (eg. writing sales letters, replying to inboxes, filming) Things I love, and I’m good at… (eg. making online courses, going live, engaging my community, doing sales calls, coaching) I set a goal to completely change things around on my to-do list over the next 90-days, so that I was left only with the tasks I was really good at, and loved doing.  The rest, I handed over to my Virtual Activated Assistant, Vicki.

Swapping what I used to do wasn’t always easy, and there were some serious hangups we had to overcome. She’d never been trained in online business or marketing before so together we had to work it… Infact, she had to learn how my business worked, the vision, mission, and reason behind what we did, as well as the essential tools I was using and how to master them. 

Here were some of the things that I had to learn from my new role.… 

  • How to let go honey…
  • How to not hog everything and release control
  • How not to constantly micromanaging her every step and trust that she could handle it… 
  • ​How to brief tasks quickly and effectively knowing that she wasn’t a mind reader… 
  • ​How to keep my cool and not overrreact when something went wrong… 
  • ​The differences between her culture and mine…

As you can imagine the list goes on and on.  Thankfully for me, handling a lot at one time and training, and effective communication have always been something I’ve been really passionate about, and naturally gifted in… 

For Petes sakes… I managed all of the ministries at my church, plus was a personal assistant to many clergy in my day. So once Vicki’s training was complete… everything in my business changed.  Thank the Lord Almighty… my to-do lists got smaller and smaller…  I stopped hitting my head against the computer trying to do things I wasn’t gifted at (like all the tech stuffh)… I was able to launch new campaigns, my membership community, and programs 100x faster…  If anything went wrong, I always had someone amazing and gifted right there on my side who wanted to eagerly always help…  I started spending time on the things that truly were going to make my business grow (and proudly walk my little tail off of Struggle Bus)…  And the best part? 

I was no longer building this engine of a business by myself! 

Someone else was showing up every day ready and excited to work. Someone who loved my business and was committed 110% to seeing it grow.  That right there gave me the courage and time needed to step up, show up, and work smarter…  Rather than running on the entrepreneurial rat race just trying to keep up.  Can I tell you the best part about having a Virtual Assistant, though?

It worked exceptionally well, so I just kept doing it again. I trained up someone else to sit within my product creation and my marketing team. Those gifted in building funnels, setting up automation, scheduling emails, and making my world easier… 

Came on board and got things done!! So I trained up another, and another, and another.  I brought on Ben who was a social media growth legend…

Then Leah…

Then LeeLee…

And then my newest VA powerhouse Shani…

Meanwhile, my business was bringing in more clients, and more income, allowing me to expand my in-house team as well.  Eventually I struck a sweet spot, where my in-house team would train up their own Virtual Assistants (using the bulletproof system)…

A beautiful thing, right? And that’s when I truly tasted the ‘profitable lifestyle I’d desired when I first jumped into coaching’

You know… the one everyone prays for 😉

  Today, I work just 3 days a week on my global coaching empire with over 3,000 new organic leads and customers a week…  While my now 9 Virtual Assistants, and my in-house team working in their bankable gift in MY business.  With all that being said, ‘hustling’ seems like such an waste of time when you want to build a business… Well, for me, at least.  If you’re still in the heat of the moment of it, chances are that you’re experiencing a growing to-do list, a stack of bills, confusion, and the clock ticking…

And I don’t want that for you…
